FNM - Fiscal Year Closing Procedures
TO: All
Employees, NRCS, Idaho
Purpose. To advise employees of
year-end closing procedures, actions and due dates for Fiscal Year 2005 Closing
Expiration Date.
September 30, 2005
Financial Management (FNM) has specific needs for closing
the accounts for FY 2005 ending September 30, 2005. Listed below are required
actions and due dates. Your cooperation will result in a smooth year-end
closing and accurate accounting of our obligations.
- Mail all travel vouchers to Janett Wagner and Rhoda Suderman, prior to
September 19, 2005 so that the vouchers can be input on-line before
September 30. For any unvouchered travel through September 30, estimate the
costs and notify Terry Sprague at (208) 378-5690 or Chris Bergmann at (208)
685-6924. NFC has a period that travel vouchers cannot be transmitted and
paid. That period is October 1, 2005 through October 8, 2005. Please plan
ahead so that this will not be a financial hardship.
- All PCMS Cardholders: All purchasing with the purchase card or
convenience checks must be done by September 10, 2005. Buy office supplies
needed for this time period, but do not stockpile supplies. PCMS cardholders
must complete their reconciliation of outstanding purchases by September 13,
2005 if possible. Cardholders will receive more details in a PCMS update.
- If you send a package by Federal Express after September 16, fax a copy
of the invoice to Chris Bergmann in Financial Management. The fax number is
208-378-5735.
- Send all your invoices for payments, including SF -1164 (claim for
reimbursement for expenditures on official business) to Terry Sprague or
Chris Bergmann, State Office, by September 16, 2005
- If you have an emergency purchase, including repairs to NRCS vehicles,
it must be made after September 9, contact Janis Stanton at 208-378-5710.
- The new travel authorizations for FY 2006 will be mailed by September
30, 2005, to all employees.
